Automation of Microsoft license adjustments

When someone's role changes with our campus, their access to IT services are adjusted to align with the eligibility of their new role. Today the process of adjusting someone's Microsoft licenses is manual. Starting in mid-May the process will be automated to ensure consistency and a better user experience for our campus.

With this new automation, when someone's role has changed in a way that entitles them to fewer Microsoft services, they will be emailed about the change and given 30 days to review how the change affects their access to Microsoft services.

As an example, after a faculty or staff member retires, when that role change shows up in the Office of Information Technology's records, the retiree is directed to the Retiree Eligibility page which lists the services they keep and those that they will lose in 30 days. There are similar pages for alumni, and former employees and students. You can also find information about the services that are automatically provisioned for someone who becomes a student or employee on the Accounts & Eligibility page.

The automated provisioning of Microsoft licenses will allow CU Boulder to manage these resources in a more fiscally responsible manner and make sure that CU's Microsoft licenses are primarily utilized for mission-critical functions.
