What to expect when you leave CU Boulder
If you leave CU Boulder and don't have an ongoing role that entitles you to IT services (e.g., alum, retiree), OIT must remove your access according to the timelines.
Former Employees & Non-Payroll Affiliates
When your employment or contract ends, you'll typically lose access to departmental IT services within a few days (e.g., UCB Files, SharePoint and Teams sites) and campus-provided Microsoft and Google services after approximately 30 days.
When your Microsoft and Google access ends, OIT will permanently delete your email account and your Microsoft OneDrive and Google Drive files.
Once OIT receives confirmation of your departure, we'll send a message to your CU Boulder email account specifying when you'll lose access to Microsoft services; you should expect to lose Google access at the same time.
Former Students
If you stop taking classes at CU Boulder, you'll be discontinued from the university after a set period of time (see "How to Withdraw & How to Return" for details).
After you're discontinued, you'll have approximately three months before you lose access to campus-provided Microsoft and Google services. At that time, OIT will permanently delete your email account and your Microsoft OneDrive and Google Drive files.
Once OIT receives confirmation of your departure, we'll send a message to your CU Boulder email account specifying when you'll lose access to Microsoft services; you should expect to lose Google access at the same time.

Your experience will differ depending on whether you regain eligibility before or after your data is deleted.
If you return before your data is deleted
If you regain eligibility before the date specified in OIT's email about changes to your Microsoft services, you will not receive additional communications about your IT service eligibility.
If your new role is different than your old one, you'll need to compare the services provided to your old role and your new one to determine which, if any, will be lost:
Any IT services your new role entitles you to will remain active and their contents won't be deleted. However, if your new role has a lower email or cloud storage quota than your old one did, you may be restricted to read-only access until you get below the quota.
If you return after your data is deleted
If you regain eligibility after the date specified in OIT's email about changes to your Microsoft services, you should expect your previous IT services to have been fully deactivated and your data deleted.
When you are onboarded into your new role:
- You will likely receive the same IdentiKey as before.
- You will receive a new CU Boulder email account, likely with the same address as before.
- You will receive new Microsoft OneDrive and Google Drive accounts according to your new role's eligibility.
