What to expect when you leave CU Boulder
When your employment or contract ends, OIT will send a message to your CU Boulder email account specifying when you'll lose access to Microsoft services; you should expect to lose Google access at the same time.
if you don't have an ongoing role at CU Boulder that entitles you to IT services, then you'll ultimately lose access to all campus-provided services.
In general, you can typically expect service changes to occur on the following timelines.
- On or shortly after your last day: Your department may begin removing your access to locally managed sites and folders, including departmental Microsoft SharePoint and Teams sites, and UCB Files file shares. Timelines vary by department, service and access policy; please consult with your local IT professional or supervisor as needed.
- Three months (90 days) after your last day: You'll lose access to CU Boulder email and Microsoft services, as well as any campus services that require Microsoft MFA (including Google Workspace, effective June 3, 2026). Shortly thereafter, your email and Microsoft OneDrive will be permanently deleted.
What to do before you lose access
For recommended actions, refer to the webpage for your former role:
What to expect if you come back
Your experience will differ depending on whether you regain eligibility before or after your data is deleted.
If you return before your data is deleted
If you regain eligibility before the date specified in OIT's email about changes to your Microsoft services, you will not receive additional communications about your IT service eligibility.
If your new role is different than your old one, you'll need to compare the lists of eligible services to determine which, if any, will be lost:
All IT services that you're entitled to in your new role will remain active. However, if your email or cloud storage capacity is reduced in your new role, any services that exceed the new storage quota will be read-only.
If you return after your data is deleted
If you regain eligibility after the date specified in OIT's email about changes to your Microsoft services, you should expect your previous IT services to have been deactivated and your data deleted.
When you're onboarded into your new role, OIT will reactivate services and provision new accounts as needed.
