Reducing the Maximum Email Size Limit

Dear Microsoft Exchange Account Owner,

In preparation for the migration of email accounts from the CU Boulder Microsoft Exchange service to Microsoft Office 365 Exchange Online, the Office of Information Technology (OIT) must lower the current message size limit for the campus Exchange service to be in line with the maximum message size limit of Office 365 Exchange Online. Here is what you need to know about this change and how it might affect you:

  • On Tuesday, July 8, 2014, OIT will lower the maximum size limit of incoming and outgoing email messages from 50 megabytes to 25 megabytes (MBs) per message.
  • Message body and attachments both count toward the total message size, but it’s typically the attachments that will impact the size. The body of a message is typically well under 1 MB.
  • If you send a message that exceeds this limit, you will receive an error message and the message will not be sent.
  • Campus-provided services such as Google Drive and Large File Transfer are ideal for sharing files that exceed 25 MB.

Although this change may seem like a reduction in a service, a 25 MB limit is more typical of and better aligns CU Boulder with most other email systems. Our 50 MB limit is relatively high. Email over 25 MB sent from CU Boulder can inadvertently be unreceivable by systems with a less than 50 MB limit.

If you have questions about this message size change or the Office 365 project in general, please contact the IT Service Center at oithelp@colorado.edu or 303-735-4357 (5-HELP from a campus phone). If your department is served by Dedicated Desktop Support and you have questions about how this change will affect you, please contact your technician for assistance. We apologize for any inconvenience or consternation this necessary change may cause.

The migration of faculty and staff email accounts to Office 365 Exchange Online is part of a larger implementation of Microsoft Office 365 on the CU Boulder campus. You can find more information about Microsoft Office 365 by visiting the Microsoft Office 365 project page.

Thank you,
